Bank Statement to Tally in Minutes: End Manual Voucher Entry

Every accountant knows the grind: a client hands over a bank statement with hundreds of transactions, and someone has to type each one into Tally as a receipt or payment voucher — date, narration, ledger, amount, Dr/Cr — twice per entry. A busy current account can mean 1,000+ vouchers a month, per client. That's hours of mind-numbing, error-prone data entry. Taficon collapses it into minutes.

The hidden cost of manual bank entry

Manual bank-to-Tally entry isn't just slow — it's where errors creep in. A transposed digit, a wrong ledger, a missed reversal, and the trial balance won't tie out. Then you spend even more time reconciling. For a practice handling dozens of clients at year-end, this single task can swallow days.

The work breaks into four repetitive steps, every single time:

  • Read each transaction off the PDF.
  • Decide the voucher type (Receipt for credits, Payment for debits).
  • Pick the counter-ledger (sales, expense, cash, a party).
  • Type both legs of the double entry.

Taficon automates the first three and generates the fourth — a file Tally imports directly.

How Taficon turns a statement into Tally vouchers

The workflow is four steps, and only one needs your judgement:

  1. Upload the statement.Drop in the bank's PDF (20+ Indian banks supported; a new format is added within 48 hours). Taficon extracts every transaction — date, narration, amount, and running balance.
  2. Auto-categorization.Each transaction is classified — UPI, NEFT/RTGS transfers, interest, charges, ATM, and cash deposits (“BY CASH”, “DEPOSIT BY”, CDM) all land in the right bucket automatically.
  3. Assign ledgers. Review the counter-ledger for each entry and bulk-assign real ledgers where they belong (more on this below).
  4. Export to Tally. Download a Tally-ready voucher file — as XML for direct import, or the exact 15-column Excel format Tally accepts.

Every transaction, math-verified

The number-one fear with any automation tool is: did it miss something? Taficon answers that with math, not marketing. Because it captures the running balance on every row, it reconciles the whole statement: opening balance + credits − debits must equal the closing balance, to the paisa. If a single transaction were dropped or mis-read, the balance chain would break — so a clean reconciliation is proof that every transaction is present and correct.

This isn't an AI that guesses your numbers. It's a deterministic parser: the same statement always produces the same result, and that result is verifiable.

Assign and bulk-replace ledgers

The one part that needs an accountant's eye is the counter-ledger — is this UPI credit a sale, or a loan received? Taficon makes that the only manual step, and even that is fast:

  • Turn on the Ledger Namecolumn to see exactly what each voucher's counter-ledger will be.
  • Filter to a pattern — say, all UPI credits — then select every matching transaction across all pages and set the ledger once (e.g. “Raw Materials Sales A/c”). Hundreds of entries, one action.
  • Anything you don't map stays in a Suspense ledger, so nothing is silently misclassified — you decide what to clean up.

The ledger you see in the list is exactly what lands in the export. What you review is what Tally imports.

Import straight into Tally

The export is a proper double-entry voucher file: each transaction becomes two lines — the bank ledger and the counter-ledger, with the correct Dr/Cr — grouped into one voucher, in the exact column order Tally Prime expects (Voucher Date, Voucher Type, Narration, Ledger Name, Ledger Amount, Dr/Cr, and so on). Import the XML directly, or load the Excel — no reformatting, no cleanup.

How much time you actually save

A real example

A single current-account statement with 1,426 transactions would take a full day of manual voucher entry. With Taficon: upload, bulk-assign a handful of ledgers, export — done in minutes, and reconciled to the paisa so you know nothing's missing.

Across a practice, that's the difference between:

  • Billing for advisory work instead of data entry.
  • Closing books days faster at year-end.
  • A trial balance that ties out the first time.

Try it on your next statement

The best way to feel the difference is to run one real statement through it. Upload a client's bank PDF, map a few ledgers, and export the Tally file — you'll see minutes replace hours.
