What to do when a physical share certificate is lost
Lost physical share certificate process in India: secure the folio, contact the current RTA, follow the duplicate/confirmation procedure and then demat.
This route may fit if…
A practical step-by-step route
- 1
Identify the exact holding
Gather the company, folio, holder name, certificate/distinctive details available from old records and verify the current RTA.
- 2
Notify the issuer or RTA
Report the missing certificate and request written confirmation of the live procedure, forms and any case-specific safeguards.
- 3
Complete only the required loss documents
Follow the RTA’s current instructions for evidence, declarations, indemnity, police or publication requirements where applicable. The correct set can vary.
- 4
Receive the approved demat pathway
Under the applicable process the RTA may issue the confirmation or entitlement needed for electronic credit rather than treating this like an ordinary original-certificate surrender.
- 5
Finish within the stated validity
Follow the timing stated on the RTA’s confirmation and coordinate with the DP so the approved holding reaches the demat account.
Start locating these
- Folio, allotment, dividend or earlier company/RTA correspondence
- Copies or photographs of any surviving certificates
- PAN, address, bank and demat evidence requested by the RTA
- Loss declarations and supporting records required for the case
- Death and succession papers if the registered holder has died
Avoid these expensive mistakes
- Do not submit a standard DRF claiming the missing originals are enclosed.
- Do not publish certificate numbers publicly while asking for help online.
- Do not pay for boilerplate legal documents before the RTA confirms its requirements.
