A practical step-by-step route
- 1
Verify the old transaction
Check the execution date, transferor and transferee names, consideration evidence and certificate details. Do not rely on memory when the original records differ.
- 2
Identify the current RTA
Find the issuer’s present Registrar and Transfer Agent and request its special-window checklist. RTAs—not informal agents—decide document sufficiency.
- 3
Prepare current KYC and demat proof
The claimant will need current identity/KYC and eligible demat-account evidence in the form requested by the RTA.
- 4
Lodge before the window closes
Submit the complete transfer-cum-demat request early enough to address deficiencies. A last-day dispatch can leave no practical time to correct missing documents.
- 5
Track restrictions and final credit
If approved, follow the RTA/DP communication concerning electronic credit and any restriction applied under the circular.
Start locating these
- Original share certificates
- Original transfer deed executed before 1 April 2019
- Any earlier rejection, return or acknowledgement letter
- Current PAN/KYC and address evidence requested by the RTA
- DP-attested demat Client Master List or equivalent proof
Avoid these expensive mistakes
- Do not describe 4 February 2027 as an expiry date for all physical shares.
- Do not fabricate or recreate a historical transfer deed.
- Do not wait for the closing week if the RTA may raise a deficiency.
