Fixing name, signature and KYC mismatches on physical shares
How to approach physical-share name, signature, address and KYC mismatches before demat: RTA deficiency, ISR forms and documentary linkage.
This route may fit if…
A practical step-by-step route
- 1
Get the mismatch in writing
Ask the RTA to identify the exact deficiency. A vague ‘signature problem’ can hide a name, KYC, holder-order or ownership issue.
- 2
Classify the correction
Separate routine KYC updates from a legal name change, spelling linkage, signature variation, transposition or ownership correction.
- 3
Use current investor-service forms
The RTA may direct you to forms such as ISR-1 for PAN/KYC details or ISR-2 for banker confirmation of signature, together with case-specific evidence.
- 4
Align the demat destination
Confirm how the holder names and order must appear in the demat account after the correction is accepted.
- 5
Submit one consistent packet
Keep copies and acknowledgement details. If the RTA raises another deficiency, answer the exact point rather than replacing the entire explanation informally.
Start locating these
- Share certificate or folio records
- RTA rejection or deficiency letter
- Current PAN, address, bank and demat account evidence
- Applicable ISR forms requested by the RTA
- Legal name-change or linkage evidence relevant to the mismatch
Avoid these expensive mistakes
- Do not alter, overwrite or laminate certificate details to make them match.
- Do not treat a different holder order as a spelling correction.
- Do not send PAN, Aadhaar, signatures or certificate numbers in public posts.
